Printer and Printer Supply Purchasing Guidance

As stated in the Managing University Spend and Information Technology Resources announcement sent on August 5 by David Marino, Larry Brandolph and Tarah Morris, departments must evaluate all current vendor relationships and recurring discretionary expenses (e.g., water services, plant care services, office supplies) to identify opportunities for cost reduction or cancellation. Please keep in mind that all dollars are Temple dollars, regardless of their source, and are under consideration.

Before purchasing a new printer, replacing an existing printer, or ordering printer supplies, departments are required to consider available Enterprise and Workgroup printing solutions. Requests for printing solutions outside of the Enterprise printing model require a consultation to review the business requirements, evaluate appropriate options, and determine whether a Workgroup or Personal/Desktop solution is warranted. The initiative is focused on reducing the personal printer footprint to simplify support, improve efficiency and standardize printing across the organization.

Printing Solution Categories

There are three printing categories for consideration when reviewing your printing needs:

  • Enterprise
If your department has access to a shared Multi-Function Printer (MFP), consider directing your staff to that resource. There is no need to order toner cartridges or other routine supplies, as they are included as part of Temple's managed print services agreement with HP.

  • Workgroup
A Workgroup printer, such as a network business-class printer shared by multiple employees, may be appropriate when a departmental business need cannot reasonably be met by an existing MFP. Workgroup printers should support the needs of multiple users and help reduce dependence on individually assigned printers.

  • Personal/Desktop
Temple no longer generally supports the purchase or upkeep of personal or desktop printers or their consumables. Departments must evaluate Enterprise and Workgroup options before requesting a Personal/Desktop printing solution. Requests for personal or desktop printers, toner, ink, or related supplies will be reviewed to determine whether the business needs support continued use of a Personal/Desktop device.

Request a Consultation

If your department requires a Workgroup printer, Personal/Desktop printer, or supplies for an existing non-enterprise printing solution, submit a Printer Consultation Request. The consultation will help determine the most appropriate printing solution based on the business requirement.
