Discontinuance of Access to Microsoft 365 Services - ANNOUNCEMENT MADE OCTOBER 2024

FIRST YEAR ALUMNI: 

First year alumni will maintain access to Microsoft 365 services, which includes TUmail and OneDrive, for up to one year after graduation. 

WHAT TO EXPECT:

  • Alumni will receive an email notification approximately two months before their end of service date. The notification will include their end of service date. 
  • Alumni are encouraged to transfer their important files and data as soon as possible. See the TAKE ACTION items below.
  • Once these services are retired, you will no longer be able to access them.  Alumni are encouraged to take action as soon as possible.

Export Email, Contacts, and Calendar Using the Microsoft Outlook Desktop Client

  • The Microsoft (MS) Outlook desktop client is needed in order to complete the export process.
    • Outlook on the web (logging in directly into tumail.temple.edu) will not work for this process.
    • ​​​​If you do not have a personal non-Temple Microsoft Office account, visit the Microsoft 365 - Getting Started page for instructions on how to obtain MS Office 365 through the university.
      • First year alumni have access to the Outlook desktop application through the university.
      • Access to MS Office 365 through the university will end on your end of service date. Your end of service date is the day you lose access to TUmail and MS Office 365 applications.
      • Once you have your exported your messages (PST file), delete the MS Outlook desktop client from your computer if you downloaded it from the university. The desktop client will not work beyond your end of service date. 
  • It is highly recommended that you import your PST file into a free Outlook account or a personal (non-Temple) Outlook desktop application.
  • If you would like to purchase a personal copy of MS Office 365, visit the Microsoft site.

STEP 1: Configure the Outlook desktop application for TUmail. Visit the Outlook 365 - Getting Started page for instructions.

  • WINDOWS USERS: You will need to turn on the Classic Mode in Outlook before you begin exporting. In the New Outlook for Windows, a toggle appears in the top right of the Outlook window - slide the button to OFF (see photo below).

                                                                                                             

STEP 2: After configuring the Outlook desktop application for TUmail, click HERE for instructions and a video on how to EXPORT from Outlook into a PST file. 

  • NOTE: By default, only one year worth of emails will be downloaded. You can update the Outlook desktop client to download all emails. See step 3 on the Microsoft support page for instructions on how to change your settings. In Step 3, note that you will need to move the slide to max. See the photo below.

STEP 3:  If you do not have an email client to import your PST file, as stated above, we recommend creating a free Outlook.com account. Once you have created your free account, see Microsoft's support page for steps on how to import your PST file into an Outlook.com account.

 

OneDrive:

  • Click HERE for instructions on how to download  files from OneDrive to your device.
    1. Go to OneDrive in a web browser
    2. Select the files or folders you want to download (see image below)
    3. Click Download in the top navigation (see image below)
    4. If prompted, choose Save or Save As
    5. Browse to the location where you want to save the download

Create a Personal Email Account:

  • If needed, you can create a free personal Outlook email account. 
    • Click HERE to create an Outlook account.
    • If you plan on importing your TUmail messages, the free Outlook account works best.

TUmail: 

  • Set Up Auto Reply
    • An automatic reply can be used to let senders know that your account is expiring soon. You can also inform senders of the email address they should use to contact you in the future. If needed, you can create a free personal Outlook account.
      1. Log into TUmail
      2. Click on the SETTINGS wheel email settings_1730467231515.png in the upper right corner and your SETTINGS window will open
      3. On the left of the SETTINGS window, click on the Account option
      4. From the options that appear after clicking on Account, click on AUTOMATIC REPLIES 
      5. Click on the toggle to TURN ON AUTOMATIC REPLIES
      6. Type in your message
      7. If you want to send replies to people outside of Temple University, check the box that reads Send replies outside your organization
      8. Type in your message 
      9. Click the SAVE button at the bottom right

Update Email Address

  • If you use your TUmail email address for any websites or services (i.e. banking, social media, etc.), replace it with a personal, non-Temple, email account.

Forward Emails

  1. ​​Log into TUmail
  2. Open the message you would like to forward to your personal account
  3. Click on the Forward button in the upper right

Export Contacts

  1. Log into TUmail
  2. Go to the People page by clicking on the blue icon on the left attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302302801&dataSourceId=000000000007234 (see image below)
  3. On the People page, click on Manage contacts at the top of the page attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302302831&dataSourceId=000000000007234 (see image below)
  4. From the Manage contacts drop down menu, select Export contacts (see image below)
    1. The exported contacts will be saved as a .csv file in your computer's Downloads folder. You can then import the contacts into other email apps or other versions of Outlook.
  5. GMAIL: To import the .csv file into a Gmail account, do the following:
    1. Log into your Gmail account
    2. In the upper right, click on the Google apps icon attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302303531&dataSourceId=000000000007234
    3. From the Google apps menu, click on Contacts - a new tab should open up with your Contacts page
    4. In the menu on the left, click on Import attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302302841&dataSourceId=000000000007234
    5. Click on Select file
    6. Locate your exported CSV file and open it
    7. Click on Import
  6. YAHOO: To import the .csv file into a Yahoo account, do the following:
    1. Log into your Yahoo email account

    3. Click the More options icon - attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302303541&dataSourceId=000000000007234
    4. Select Import from CSV file (5MB max)
    5. Select the CSV file from the finder window
  7. OUTLOOK: To import the .csv file into an Outlook account, do the following:
    1. Log into your Outlook account

    3. Click on Manage contacts in the upper right attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302303571&dataSourceId=000000000007234
    4. Click on Import contacts
    5. Browse for your CSV file and then click Import
