TUmail Transition Steps for Temple Retirees

Overview

As a courtesy to our retirees, Temple has historically allowed retired Temple employees to retain their AccessNet accounts so they could continue using TUportal and TUmail.

After reviewing this practice, however, the University has determined that providing these accounts is no longer sustainable.

Temple faces a growing and increasingly complex cybersecurity threat landscape. Retaining digital accounts for individuals who are no longer actively affiliated with Temple increases the risk of:

  • data breaches of Personal Identifiable Information (PII)
  • phishing 
  • identity theft
  • other forms of unauthorized access

In addition, maintaining accounts for retirees requires ongoing effort in licensing, data storage, and user support — costs that continue to rise annually. By discontinuing this service, the University will be better able to focus its resources on securing active systems and supporting current students, faculty and staff.

Timeline for Account Closure

Effective December 12, 2025, you will receive a 45-day grace period to transition from TUmail before your AccessNet closes on January 26, 2026. Once your account closes, you will:

  • no longer have a valid @temple.edu email address
  • not be able to send, receive or view emails
  • not be able to access TUportal or other central resources including the wireless network

We encourage you to begin transitioning from TUmail as soon as possible (rather than waiting until December) using the guidelines below:

What Should I Do Now to Prepare?

  • To keep your e-mail messages, see Saving Your Emails and Data below.
     
  • Wherever you registered your Temple email address (for example, websites and contact lists), make sure to update it with an external non-Temple personal email address . Otherwise, you will no longer receive email messages sent to your @temple.edu address.
     
  • Set up an email autoreply to inform people that your account is about to expire and that they should start using your personal, non-Temple email address.
     
  • Be aware that if you forward your Temple email to another email address, this will stop working once your AccessNet account is discontinued.

Saving Your Emails and Data

We encourage you to begin transferring your important emails and data as soon as possible. Note that you will need to log in with your AccessNet username and password.

Note: If you receive an AccessNet password expiration notice from Temple before your planned AccessNet account retirement date, make sure to reset your password before the deadline indicated in the notice, so you can continue accessing your email and documents.

Create a Personal Email Account:

TUmail: 

  • Set Up Auto Reply
    • An automatic reply can be used to let senders know that your account is expiring soon. You can also inform senders of the email address they should use to contact you in the future.
      1. Log into TUmail
      2. Click the SETTINGS wheel email settings_1730467231515.png in the upper right corner and your SETTINGS window will open
      3. On the left of the SETTINGS window, click the Account option
      4. From the options that appear after clicking Account, click AUTOMATIC REPLIES 
      5. Click the toggle to TURN ON AUTOMATIC REPLIES
      6. Type your message
      7. If you want to send replies to people outside of Temple University, check the Send replies outside your organization box.
      8. Type your message 
      9. Click the SAVE button at the bottom right

  • Update Email Address
    • If you use your TUmail email address for any websites or services (i.e. banking, social media, etc.), replace it with a personal, non-Temple, email account.
       
  • Forward Emails
    1. ​​Log into TUmail
    2. Open the message you would like to forward to your personal account
    3. Click on the Forward button in the upper right

  • Export Contacts
    1. Log into TUmail
    2. Go to the People page by clicking on the blue icon on the left attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302302801&dataSourceId=000000000007234 (see image below)
    3. On the People page, click on Manage contacts at the top of the page attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302302831&dataSourceId=000000000007234 (see image below)
    4. From the Manage contacts drop down menu, select Export contacts (see image below)
      1. The exported contacts will be saved as a .csv file in your computer's Downloads folder. You can then import the contacts into other email apps or other versions of Outlook.

        GMAIL: To import the .csv file into a Gmail account, do the following:
        1. Log into your Gmail account
        2. In the upper right, click on the Google apps icon attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302303531&dataSourceId=000000000007234
        3. From the Google apps menu, click on Contacts - a new tab should open up with your Contacts page
        4. In the menu on the left, click on Import attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302302841&dataSourceId=000000000007234
        5. Click Select file
        6. Locate your exported CSV file and open it
        7. Click Import


YAHOO: To import the .csv file into a Yahoo account, do the following:

  1. Log into your Yahoo email account

  3. Click the More options icon - attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302303541&dataSourceId=000000000007234
  4. Select Import from CSV file (5MB max)
  5. Select the CSV file from the finder window
     

OUTLOOK: To import the .csv file into an Outlook account, do the following:

  1. Log into your Outlook account

  3. Click Manage contacts in the upper right attachment?dataSource=RKM:ReferenceTemplate&attachmentId=302303571&dataSourceId=000000000007234
  4. Click Import contacts
  5. Browse for your CSV file and then click Import

  • Export Email, Contacts, and Calendar Using the Microsoft Outlook Desktop Client
    • The Microsoft (MS) Outlook desktop client is needed in order to complete this process. Outlook is available by purchasing Microsoft 365.
      • Outlook on the web (logging in directly into tumail.tempe.edu) will not work for this process. 
      • If you would like to purchase MS Office 365, visit the Microsoft site.
        • $99.99/year or $9.99/monthly
        • You'll also gain access to Microsoft support with your paid subscription.
      1. Once you have downloaded the Microsoft Outlook desktop client, visit the OUTLOOK 365 - GETTING STARTED page for instructions on how to configure Outlook for TUmail. 

        WINDOWS: You will need to turn on the Classic Mode in Outlook before you begin exporting. In the New Outlook for Windows, a toggle appears in the top right of the Outlook window - slide the button to OFF (see screenshot below).

      2.  After configuring Outlook for TUmail, click HERE for instructions and a video on how to EXPORT from Outlook into a PST file. 

        NOTE: By default, only one year worth of emails will be downloaded. You can update the Outlook desktop client to download all emails by turning on Cached Exchange Mode in Outlook. See step 3 on this page for instructions on how to change your settings. Note that you will need to move the slide to max. See the screenshot below:


         
      3. Once you have your PST file, you should save this file to an external hard drive, USB flash drive or via cloud storage so that you have a copy of the file saved for safe keeping. Save the PST file to your desktop for now.
         
      4. If you do not have an email client to import your PST file, we recommend creating a free Outlook.com account. Once you have created your free account, see Microsoft's support page for steps on how to import your PST file into an Outlook.com account.

        NOTE: Importing into a Gmail account will not work. TUmail does not support the POP-IMAP settings required for Gmail. 

FAQs

​​​​​​How will I be kept informed of this process?
​​​​​​​You can expect to receive regular emails in advance of your AccessNet account closure, with a link to this page for instructions on transitioning from TUmail. 

I am volunteering my time to support programs at the university. The job requires that I use a Temple email account. What should I do?
If your volunteer position requires you to communicate via Temple email only, ask your project or program sponsor to perform one of the following:

- Contact HR to formalize your appointment for the work being performed, or

- Request a guest account for you using the Guest Access Request System . (You must be logged in to TUportal for the link to work.) To do this:

  1. Log in to the Guest Access Request System app via TUportal.
  2. On the left menu, click Create New .
  3. Complete the fields at the bottom to search for your information.
  4. Most of the alumni information will be pre-populated. Fill in any missing information, but pay particular attention to the Email and Date Begin/Date End fields. See notes below:
    - Email must be your non-Temple email address.
    - Date Begin should be your start date.
    - Date End should be your departure date. If your depature date is unknown, this should be one year from the start date.
  5. For Type select Temple Guest .
  6. For Category select Volunteer .
  7. We also recommend assigning a Co-Sponsor . ​​​​​
  8. ​Once you are done filling the form, click Submit .

I am a current student/faculty member/staff member/emeritus that received the retiree AccessNet Account discontinuance message. Do I still get to keep my account?
Yes. If you are still connected to Temple University as a student, staff/faculty member or emeritus, you will maintain your account. We apologize if you received this message erroneously. ​​​
