Description

Teams Calling enables you to make and receive telephone calls via Microsoft Teams from your computer or mobile device.

Once activated, a phone dial pad appears when you select the Calls option on the left navigation bar in Teams.

When placing calls, recipients will see the number you have selected for outbound calls.

Each of your Teams apps (mobile, desktop app, web) will ring when receiving calls during the days and times you specify. If you have a landline phone in the office, it will also continue to work as before.

No direct cost. However, there is an indirect cost for a Temple phone number.

Requesting the Service

 

Teams Calling can be requested through Telecom Self Service, accessible via TUportal as outlined below in Getting Started with Teams Calling .

Getting Started with Teams Calling

 

We recommend if using Teams Calling that you submit a request to set up forwarding your voicemail messages to your Temple email account. You can also submit a request to set up a line to dial in with a passcode to check messages. Requests can be submitted by clicking the Request Telephone Service button on the Landline Telephones Service page.

When receiving your messages, the sender will appear as UnifiedMessaging@mail.temple.edu and the message will contain a sound file attachment with the extension .wav . When you open the message, you can then play and/or download the attachment. If prompted to Download the file or Connect more apps, select Download . Then, if prompted, open the file with Windows Media Player (PC) or iTunes (Mac).

Please note that although Teams does have a built-in voicemail system, it is currently not compatible with Temple’s phone system.

 

Documentation - Desktop

 

These instructions are focused on using Teams Calling on your desktop computer.

How to Make Calls

 

1. Click Calls on the left navigation bar.

2. You can then type a number or enter a name from your contacts. For group calls, type in multiple names or the name of the group you would like to call.

3. You can also use the dial pad feature to enter in numbers to make calls.

Note: Click Keypad to access the Dial Pad while in the call.

 

Making Calls from Your Contact List

 

While in the Calls section of teams, you can search for names of other users at Temple University. If you hover over the profile picture, you can click any telephone numbers they have available.

 

Group Contacts

 

You can also create groups of individuals to better organize those in your Speed Dial group.

1. In Calls , next to C ontact Groups , click the “ + ” sign.

2. Choose your group name and click Create .

3. The group will now show up within the Speed Dials tab. Click the three dots to the right of the group to add contacts. A box will prompt you to add recipients (enter names and numbers) in the same way you would add a speed dial.

 

Making Calls from the Command Box

 

At the top of your Teams app, in the bar across the top, you can type /call followed by the name or number of the person you are attempting to reach. You do not need to be in the “Calls” section to use the command box.



This makes it quick and easy to access your contacts and start your call.

 

Answer a Call

 

When someone calls you, you'll get a notification that lets you accept or decline the call.



Select Accept with audio to answer with audio only, or select Decline call .

 

Creating a Conference Call from an Existing Call

 

If you are on a call and you decide that you need to have a conference call that includes the person to whom you are speaking and additional participants, this can be done in the conversation window of the current call.

To create a conference call:

1. During a call, in the conversation window, click the People options button.



2. In the Invite more people dialog box, enter a contact or number in the Search.




3. Double click the contact’s name OR phone number that appears in the area below the Search .

4. Once the call is accepted the invitee will show up on the Attendees list.

 

Place a Call on Hold

 

When on a call, you can place a person on hold by taking the follow steps:

1. Click ,then from the menu, select Hold .


2. The person or group with whom you are on call will be notified that they have been put on hold.

3. You can continue the call by clicking Resume .

 

Transfer a Call

 

To transfer a call to another member in Teams or outside of the university:

1. On your call, click , then from the menu, select Transfer .


2. In the search bar you can type a name or number where you want the call to be transferred.

3. Then click Transfer .

If you need to chat with the person prior to completing the transfer:

1. On your call, click , then from the menu, select Consult then transfer .


2. In the search bar , enter the name or number of the person you want to speak with prior to transferring. If transferring to another person on Teams, you will have the option to call them, or use the chat feature prior to the transfer.

3. When ready, click Transfer .

 

Merge a Call

 

While you're on a call with another person (or a group call), you might decide you want to ask someone else a relevant question.

You can make another call while you're still on the first call. When the second call connects, you can merge it with your first call.

When the second call connects, go to the call controls and select , then from the menu, select Call merge .


The first call will automatically be put on hold when you make another call. You can also locate the call controls and select , then select Hold to take this action before making another call.

 

Review Call History

 

To access a call history including your missed calls:

1. In Teams, select Calls. Your call history is located in the center of the calls experience and shows a list of past calls (including missed calls). You can then select any call from the list to review the call details.

2. To call a person, group, or number back just click , then select Call back .



3. If the person is in Teams, you can also use the chat feature.



You can remove a call from your history if needed by hovering over the call you'd like to remove and select , then select Remove from view .

 

Speed Dial

 

To add someone to your speed dial list:

1. Click the Calls on the left navigation bar. Then tap the Contacts tab, which appears on above the dial pad on the left side of the Calls page.



2. Search for the contact you would like to add to your Speed Dial group.



3. Next to the contact name, click , then select Add to Speed Dials .

If the search doesn’t recognize the name or phone number, you’ll be notified that it couldn’t find any matches. Click Add to Contacts . You’ll be given the opportunity to complete their information:

 

Block Spam Callers

 

To block all external calls with no caller ID:

  1. Click the ellipsis ( ) on the top-right corner of your screen.
  2. Click the option for Settings .
  3. Click the option for Privacy in the tabs on the left side of the Settings menu.
  4. Under Blocked contacts, select the option to Block calls with no caller ID .

To block external callers that have called you:

  1. Click the Calls tab on the left side of your screen.
  2. In the History Menu, locate the external phone number you wish to block.
  3. Click the ellipsis ( ) next to the external phone number.
  4. From that menu, click the option to block.

​​​​​​​ Note: In the settings menu (see Block all external callers with no caller ID), you can view and edit all the Blocked Contacts list.

 

Updating Your "Busy Options"

 

To specify what happens if you receive a call while in another call:

  1. Click the ellipsis ( ) on the top-right corner of your screen.
  2. Click the option for Settings .
  3. Click the option for Calls in the tabs on the left side of the Settings menu.
  4. Under When you're in a call and receive another call , select one of the following:
    - Let new calls ring me
    - Play a busy signal
    - Redirect as if call is unanswered - ​​​​​If you set up voicemail as described above under, Getting Started with Teams Calling , you can use this option to send incoming calls to voicemail without interrupting the current call.
  5. Finally, click the "x" on the upper-right corner of the screen to close the Settings window.

These instructions are focused on using Teams Calling on your mobile device.

Installing Teams Mobile App

 

To download the Teams mobile app, go to your mobile device and follow the link on the Microsoft download page. Or download it from the iOS App Store or Google Play Store .

Installing on IOS


To install the Teams app on your iPhone or iPad:

1. Open the Apple App Store on your iOS device.

2. Tap the Search icon and type Microsoft Teams .

3. Tap the download link to install the app on your device.

4. Once the app has finished downloading and installing, tap the Open button.

Installing on Android


To install the Teams app on your Android phone or tablet:

1. Open the Google Play Store on your Android device.

2. Tap the Search icon and type Microsoft Teams .

3. Tap the Install button to install the app on your device.

4. Once the app has finished downloading and installing, tap the Open button.

When you first open the Teams mobile app, you will be presented with a sign-in screen where you can choose how you will sign into Teams. Sign in using your accessnet@temple.edu , then follow the prompts.

 

How to Make Calls

 

1. Tap More in the bottom left corner.

2. Tap on Calls , then tap on the phone icon to start a call.


3. Using the Dialpad tab, you can enter in numbers to make personal calls, as well as emergency calls.

4. Using the People tab, you can enter a name from your contacts. (You may need to allow Teams access to your contacts.)

You must be connected to the internet to make calls, including emergency services, through Teams.

 

Syncing Your Contacts on Teams Mobile

 

1. Tap on your profile picture and then tap Settings.

2. Tap Calling .


3. Tap on Sync my device contacts , then tap to turn on to sync with the contacts on your device. You will then follow your devices prompts to allow Teams access to your contacts. You can return to this page anytime to turn off this feature.

 

Call Using Speed Dial or Call History

 

1. At the bottom of the screen, tap More . Then tap Calls .

2. You will be brought to your Speed Dial and History screen.



3. Tap on a contact listed under Speed Dial . Or tap History , then tap the person's name or number you wish to call.

 

Answer a Call

 

When someone calls you, you'll get a notification that lets you accept or decline the call.

Select Accept with audio to answer with audio only, or select Decline call .

When making calls using Teams on a mobile device, it is important to know that the device’s screen will stay on even after navigating away from the call window. You will need to end the call first, before you lock your phone screen. If you lock your screen while on a call, the call will stay connected although the screen is locked.

 

Creating a Conference Call from an Existing Call

 

If you are on a call and you decide that you need to have a conference call that includes the person to whom you are speaking and additional participants, this can be done in the Conversation window of the current call.

To create a conference call:

1. To place a call or meeting on hold, tap .


2. Then tap the People icon.


3. Tap Add People . You will then be able to either type a name or phone number. Tap Done when ready to call.



4. Once the call is accepted the invitee will show up on the People list.

1. Click , then from the menu select Hold .


2. The person or group with whom you are on call will be notified that they have been put on hold.

3. You can continue the call by clicking Resume .

 

Transfer a Call

 

To transfer a call to another member in Teams or outside of the university:

1. On your call, click , then from the menu, select Transfer.


2. You can then select between either Transfer Now or Consult First .

3. Once you have selected your transfer type, enter the name or phone number you would like to transfer to. Tap the name or number to begin the transfer.

Please note that you can also turn on Notify me if there is no answer and you will receive a notification if the number that you transferred to did not answer.

 

Block Spam Calls

 

To block all external calls with no caller ID:

  1. Tap on your person icon on the top-left corner of your screen.
  2. Tap the option for Settings .
  3. Tap the option for Calling in the Settings menu.
  4. In calling, tap the toggle to turn on Block calls with no caller ID .

To block external callers that have called you:

  1. Tap More on the bottom left corner.

  3. Tap the History option in the Calls menu.
  4. Locate the external phone number you wish to block, then tap the More button.
  5. From that menu, click the option to Block .

  6. The number is now added to your block list in your Settings , under Calling .
